Managing Email Notifications

After creating at least one notification profile, you can manage that profile and others by choosing Post Processing > Notification Email Alerts & Approval Workflow in the Form Designer Toolbar. You can also right-click on the form in the Dashboard, then select Form Design Tools > Notification Profiles.

When the Notification Profile window appears, you can view any notifications that may already exist for this form, and manage them using the menu items in the toolbar at the top of the window.

Default Profile

There is always one and only one default notification profile. In the Default column, the check mark indicates which profile is the default. When there are no rules to control notification profiles, the default profile will process the auto-responses for all submissions of this form. See the Rules section below.

 

Important note:  The Respondent Update Mode is an option for the Standard Notification profile. However, since the primary use for a Respondent Update profile is to encourage returning to a form, you cannot set that type to be the default profile.

Add AutoResponder Profile

To add another notification, select the Add Notification Profile menu item and then follow the steps in the topic Creating AutoResponders.

Delete Profile

To delete a notification, select the row containing the profile and then click the Delete Profile menu item. Click Yes to confirm your choice or No to retain the profile.

Edit AutoResponder Profile

Select a notification profile and then click the Edit menu item. Or, you can simply double-click the notification profile that you want to edit.

Rules

In the Rules tab, you can create rules to control the notification profiles. In particular, you can avoid running the Default profile under specific conditions. For example, you might create a notification profile containing a rule that examines that DateSubmitted value. Choose DateSubmitted field in the rules filter drop-down, then choose a match condition, and then choose a date for comparison. Learn more in the Rules chapter.

 

Important note:  Rules are executed in the order shown in the listing. If a condition exists that matches one of the rules, processing aborts at that point.
